We are seeking an Administrative Coordinator to help keep our growing portfolio of programs organized, compliant, and running efficiently — so our team can stay focused on the land, water and the work that matters.

The Opportunity

Gitanyow Fisheries Authority (GFA), the fisheries and wildlife management arm of the Gitanyow Hereditary Chiefs, is creating a new Administrative Coordinator position to meet the growing administrative demands of its programs. This is a mid-level coordination role at the heart of GFA’s operations.

The person in this role keeps contracts and contribution agreements on track, ensures financial reporting is accurate and timely, manages fleet and equipment accountability, and ensures nothing falls through the cracks across a busy, multi-program environment.

The role is split approximately three days per week supporting Fisheries and two days per week supporting Wildlife, with flexibility based on seasonal workload. A background in fisheries or natural resource management is an asset, but not required. Strong administrative judgment and attention to detail are essential.

What You’ll Do

Contract and Agreement Administration

  • Track and administer all contracts and contribution agreements; maintain a master system for key dates, deliverables, and reporting obligations.
  • Monitor compliance and flag discrepancies, including unauthorized hours in Payworks.
  • Draft and format standard contracts under direction; manage execution, distribution, and filing.
  • Ensure grant and contribution reporting requirements are submitted on schedule.

Fleet, Asset and Compliance Management

  • Manage fleet insurance, renewals, incident documentation, and insurer coordination.
  • Develop and maintain asset tracking systems for equipment and field gear.
  • Maintain staff certification and training records and flag upcoming expiries.

Financial Administration and Reporting

  • Review, code, and submit invoices in coordination with Finance.
  • Maintain budget tracking and produce expenditure summaries for reporting.
  • Verify Sage-generated financial reports and flag anomalies.

Data Management and Program Support

  • Develop and maintain administrative data workflows and filing systems.
  • Support report writing and grant applications through data compilation and formatting.
  • Provide administrative support including meeting prep and correspondence.

Who You Are

You are highly organised and systems-driven, someone who naturally builds structure and keeps things on track. You manage competing priorities well and adapt when things shift.

You communicate proactively and keep stakeholders informed before issues escalate. You’re comfortable working across field and office-based teams and adjusting your communication style accordingly.

You are confident working with financial data, including spreadsheets, budgets, and invoice tracking. You notice inconsistencies quickly and communicate clearly in writing.

You understand that First Nations governance follows its own rhythms and priorities. You work within that respectfully and effectively, keeping systems reliable and current.

You approach your work with respect for Gitanyow culture, history, and values, and you are open to learning.

What You Bring

Education

2-year diploma in Office Administration, Business Administration, or related field; or equivalent experience. Bachelor’s degree is an asset.

Experience

  • 3–7 years in administrative coordination roles involving contracts or financial tracking.
  • Experience managing multiple contracts or agreements simultaneously.
  • Experience with invoicing, budgeting, and financial reporting; Sage or similar software is an asset.
  • Familiarity with payroll or HR systems such as Payworks is an asset.
  • Experience in First Nations, government, or natural resource contexts is an asset.

Skills and Competencies

  • Strong organisational skills and attention to detail.
  • Ability to build and improve administrative systems independently.
  • Strong written communication skills for contracts and reporting.
  • Comfort with financial data and reporting.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Discretion and tact in handling confidential information.
  • Respect for Indigenous culture and willingness to learn.
